Policy Management Software for Community Banks

Are you tracking your policies across shared drives and spreadsheets? Do policy owners sometimes update policies without sending it for approval or re-sharing it with staff? When a policy changes, are you confident that staff are reading the latest version and not the copy saved to their local drive last year? Dayspring is policy management software for community banks, keeping policies up-to-date, approved, version controlled and communicated without the cost or management of a full GRC suite.

Who is This For?

Dayspring is policy management software for US community banks, usually with 100 to 500 staff, where a compliance officer or small team looks after dozens of policies on top of everything else. It suits banks that are growing, adding staff or branches, and finding that managing policies across email, shared drives and spreadsheets is creating too much manual admin work and are looking for a faster, simpler and more robust way forward.

  • No Change Goes Live Without Approval

When a policy owner uploads a new version, it's sent to the chosen approvers first, whether that’s senior management, a committee or the board. Staff are sent the updated version only after it’s been signed off by all the approvers. Dayspring records who approved which version and when, so the evidence is ready for your board minutes, your auditors and your examiners.

  • Reviews Happen on Schedule & Old Versions Are Auto-Archived

Each policy has its own customisable annual review date, so reviews are spread across the year with review reminders sent by email to each policy owner. Old versions are archived automatically so no-one's ever working from an out-of-date policy. Each policy has a full version history available and the ability to rollback old versions.

  • Every Version is Communicated to the Right People

Choose who needs to read a policy and Dayspring sends it, follows up with anyone who hasn’t responded, and records each acknowledgment. Staff also see a plain-English summary of what changed between versions, so they don’t have to re-read 20 pages to find the one paragraph that’s different. If something doesn’t make sense or needs clarification, they can ask a question directly to the policy owner.

FAQs

Answers to the questions community banks ask us most about managing policies in Dayspring. Still got a question? We'd love to hear from you, contact us here.

Does my whole team need a licence?

keyboard_arrow_down

Yes. Everyone who needs to work with your policies needs their own seat. Seats can’t be shared, because acknowledgment records are tied to individual people. There are two seat types. “Full Seats” are for people who upload policies, run workflows and access reports. Lower-cost “Guest Seats” are for staff who only need to read and acknowledge policies, such as tellers, loan officers and branch staff. There’s a minimum of 3 Full Seats per workspace.

How long does it take to get set-up?

keyboard_arrow_down

Sign-up takes minutes, directly from the website's pricing page here. After sign-up, you'll receive an email with your temporary password — it'll take just a few more minutes to create your new password, set-up MFA, and gain access to your new workspace. From there, the process of uploading policies takes around 2-5 minutes per policy: there's no implementation project, no consultant required, and no timelines dictated by a third-party. Most teams are fully set-up within an hour.

That said, the real value of Dayspring builds over time. Version history reports and acknowledgement reports reflect what happens on the platform from the point that you start using it — so, the earlier you adopt it, the stronger your policy governance evidence will be.

Is Dayspring secure enough for a bank?

keyboard_arrow_down

Dayspring is ISO 27001 certified, the international standard for information security management, and access is controlled at the level of each document. Your data is hosted on AWS in Ireland (eu-west-1). If you have any questions, or would like us to complete your due diligence questionnaire, please contact us at compliance@dayspringsoftware.com. We'd be happy to help.

What happens if the person who manages our policies leaves?

keyboard_arrow_down

Nothing gets lost. Every policy’s owner, review date, approval history and acknowledgment records live in Dayspring, not in someone’s inbox or desktop. You can simply reassign the policies to a new owner and they can pick up where the last person left off.
